As we continue to grow, we are seeking an experienced and driven Scheduling Coordinator to support our construction operations.


About the Role

The Scheduling Coordinator plays a central role in organizing and maintaining schedules across several operational departments, with a primary focus on construction projects. This position supports project managers, field supervisors, and department leads by building accurate schedules, tracking progress, and ensuring teams have the information they need to stay on track. In addition to construction scheduling, this role assists with scheduling for landscaping/irrigation, repairs, permitting, masonry, grading, and other field services. 


Key Responsibilities

  • Develop, update, and maintain construction project schedules.
  • Manage and maintain company calendars, scheduling appointments, meetings, and project timelines.
  • Coordinate with project managers, field teams, and leadership to ensure schedules align and conflicts are resolved proactively.
  • Communicate clearly and professionally with clients, vendors, and internal team members.
  • Prepare and maintain reports, spreadsheets, and scheduling documentation.
  • Assist with organizing materials for meetings and project updates.
  • Assist with scheduling for additional departments including landscaping and irrigation crews, repair and maintenance teams, permitting workflows and inspection timelines, and masonry and grading operations.
  • Provide administrative support, including data entry, document management, and phone support.

 

Qualifications

  • 3–5 years of experience in construction scheduling or project coordination.  
  • Ability to organize work in the correct order and understand how one task affect the next.
  • Skill in identifying time-sensitive activities and keeping schedules aligned with project goals.
  • Ability to read and interpret construction drawings, scopes of work, and field documentation.
  • Expert-level proficiency with spreadsheets (Excel) and strong data management skills.
  • Strong organizational and time management abilities.
  • Exceptional attention to detail and accuracy.
  • Ability to multitask, prioritize effectively in a fast-paced environment, adapt to shifting priorities and supporting several teams at once.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Smartsheet.
  • QuickBooks knowledge is a plus.
  • Bilingual (English/Spanish) is a plus.
